A presentation in five acts

One system for people, documents and internal processes.

PDVS brings the employee journey, requests, approvals, document control, purchasing and everyday administrative tasks into one platform. Fewer Excel files and e-mail chains – more clarity, faster decisions and a full audit trail.

One approval windowRequests, documents and purchases in a single queue.
Every decision has a historyWho, when and on what grounds – visible later, too.
Self-service for employeesA request is submitted and tracked without e-mails.

Prologue · Before

When processes are scattered, most time is lost not on the work itself – but on searching, aligning and reminding.

Excel registers

Who has the laptop? Who is on leave?

Registers live in separate files that only one person really knows.

E-mail chains

The request is in one e-mail, the answer in another.

The status is clear only to whoever read the whole thread.

Document versions

Procedure_v3_FINAL_new.docx

Nobody knows which revision was reviewed and which one is in force today.

Unclear approvals

Who has to approve? Did they already?

The decision was made verbally, and there is no trace.

PDVS moves these processes into one managed flow: the employee submits, the manager approves, the responsible department sees it, and the company keeps the history and the audit trail.

Act I · The journey

From candidate to employee – and beyond.

Recruitment, interviews, the job offer, hiring documents, leave and other requests, probation and annual reviews, changes to the employment relationship and its termination. Information moves with the process instead of staying in separate files and e-mails.

  • AI reads the CV – nobody retypes itContacts, experience, skills and languages are extracted from PDF or DOCX. AI is a tool here, not the point.
  • Interviews with a Teams invitation from OutlookThe meeting is created straight from the pipeline board and invitations go out automatically.
  • Offer accepted – employee createdThe employment contract draft appears without entering the data a second time.

Act II · The decision

For managers – one window for every decision.

PDVS gathers approvals from different processes in one place. The manager sees what is waiting for their decision, and the system itself routes the task to the next approver and informs the people responsible.

  • One request. A clear status. A traceable decision. The employee sees where their request is – without extra e-mails or reminders.
  • A chain that follows your rulesDeputy, manager, HR, director – the order depends on the process and the amount.
  • Kiosk mode for the shop floor and warehouseOn-site staff submit requests from an allowed terminal or IP address.

Act III · The document

A document is more than a file. It has a version, an owner and a history.

Manage document codes, versions and revisions, review, PDF annotations, approval, publishing, validity dates and employee acknowledgement. The history stays traceable, and access follows the organisation's structure and responsibilities.

  • A frozen review copyThe reviewer looks at a specific DOCX/PDF copy – a later revision cannot silently change what has already been reviewed.
  • Official versions and internal revisionsV1, V2 – what is in force. R1, R2 – what is being drafted. A draft is never confused with an approved document.
  • Acknowledgement campaigns and the QMS registerThe recipient list is fixed when the campaign starts; acknowledgement sheets can be exported for audits.

Act IV · The purchase

Purchase need, approval and supplier offer – in one process.

An employee submits a purchase request, the system applies the approval logic set for the amount and responsibilities, and the purchasing team collects commercial offers, sends RFQs to suppliers and manages the supplier register and evaluation.

  • Approvals by amountThe cumulative chain changes with the purchase amount and company rules – no manual forwarding.
  • RFQs from OutlookThe request goes to the supplier from the user's Microsoft 365 mailbox; AI can help draft the e-mail.
  • Who initiated, who approved, what was chosenOffers are compared and the winner is recorded in the same entry – together with the supplier rating.

Act V · The foundation

Sensitive HR data needs more than a password.

Two-factor authentication, role- and object-based permissions, an audit log, sign-in history, IP control, login attempt limits and encryption of sensitive employee data help control access and traceability.

  • Least privilege by designAccess is granted not just per page, but per specific employee, document or process.
  • Encrypted sensitive fieldsPersonal ID number, address, salary, IBAN and integration credentials are stored encrypted.
  • Incidents can be investigatedWho, when, from which device and IP – every action has a record.

Integrations · Tools you already use

PDVS connects to the tools your company already uses.

Integrations cut double data entry and let actions happen where they naturally belong – in Outlook, Teams, e-signature, payroll, access control or other systems.

Microsoft 365Graph · Outlook · Teams

Teams interviews and Outlook invitations from recruitment; purchasing RFQs from the user's mailbox.

DokobitE-signature

Electronic signing of employment documents; the status flows back into PDVS.

Vikarina · RivilėPayroll

Employees and approved absences passed to the Vikarina or Rivilė payroll system.

BioStar 2Access · attendance

Access and biometric events synchronised with attendance data.

WorksoberSobriety checks

Check results synchronised with employee records.

OpenAI / Azure OpenAICV parsing

Candidate CVs turned into structured data; AI helps draft RFQ text.

SMTPNotifications

System notifications, OTP and approval e-mails in your company's visual style.

Your system?API · Webhook

OAuth, REST and webhook details live in the documentation and the implementation proposal, not on the first screen.

PDVS at the centre – your systems around it.

One business sentence per integration: what it is for. Technical settings stay in the documentation and the implementation proposal.

About PDVS

Built around real company processes, not just a list of features.

The goal of PDVS is to bring recurring HR, document and administrative processes into one managed platform. The system spans different employee roles and several process areas, so implementation starts from the real organisational structure, responsibilities and approval rules.

  • Modular scope: start with the one process that matters most and grow from there.
  • Single-company or group context – documents and permissions follow the structure.
  • Implementation starts with your organisational structure, responsibilities and approval rules, not a feature list.

Finale · The seal

Show us your process – we'll show how it runs in PDVS.

The best demo starts not with a feature list but with one real process of yours: recruitment, leave, document review, a purchase request or an asset handover. That is the fastest way to see the practical value of the system.

  • Briefly describe what you manage today by e-mail, in Excel or across several systems.
  • We'll show the exact flow – from initiation to approval and the audit history.
  • After you submit, a consultant gets in touch and agrees a time for the demo.
